Proposals, projects, and billing wired together so the work bills itself.

Consulting and professional services firms live in the gap between scoping work and getting paid for it. We close that gap by connecting your proposals, time tracking, invoicing and client portal into a single flow.

The proposal was signed last month. The project is halfway done. No one is sure what has been billed yet.

Most consulting firms manage the gap between delivery and invoicing manually. Hours get logged in one place, approved in another, and billed from a spreadsheet that is always two weeks behind. Retainers get drawn down without anyone watching the balance. Revenue leaks in the handoffs.

We build systems that connect your proposal tool, CRM, time tracking and billing in a single pipeline. When the work is done, the invoice drafts itself. When the client approves, it sends. Partners stop chasing timesheets and the client stops asking where the project stands.

Where the software stops

Five good tools and a spreadsheet between them.

A typical consulting stack is a CRM, a proposal tool, a time tracker, an accounting system and a shared drive. Each is reasonable. The joins are where the hours go.

The deal closes and the project starts from scratch

The CRM knows the scope, the fee and the contact. The project tool and the time tracker get set up again by hand, and the budget lives in whoever wrote the proposal.

The signed scope is a PDF

Deliverables, milestones and rate cards are agreed in the proposal, then retyped as project tasks and billing rules. Change orders follow the same route by email.

Time is tracked. Billing is assembled.

Timesheets exist, but turning them into an invoice with the right rates, the right retainer draw-down and the client's required detail is a monthly job for someone senior.

Clients get documents by email

Invoices, deliverables and status updates go out as attachments, so the latest version is whichever one the client found last.

The paperwork

What every engagement produces.

Each of these is created in one tool and needed in another. Moving it by hand is the job nobody was hired to do.

Proposals and SOWs
Scope, fees and milestones that should become the project budget and the billing schedule without retyping.
Engagement letters
Signed terms stored against the right client, where the team can find them at renewal.
Timesheets
Hours by person, project and task, approved before they bill.
Retainer statements
Hours used against hours bought, shown to the client before they ask.
Change orders
Scope changes agreed mid-project that need to reach both the plan and the invoice.

How we help

Built for billable work.

Proposal to project automation

Approved proposals spin up projects automatically, with the right team, budget, and milestones.

Time and expense capture

Log billable time against the right project and client without switching between systems.

Automated invoice generation

Draft invoices from approved time logs and milestones so nothing falls through the billing gap.

Retainer and milestone billing

Recurring retainers and milestone schedules handled without manual tracking.

Project profitability reporting

Know your margin per project in real time, not at the end of the quarter.

Client portal and approvals

Clients review deliverables and approve invoices in one place, without email chains.

Resource and capacity planning

See who is available, who is overcommitted, and where new work can land.

Contract and SOW management

Store signed agreements against the right client and project so the team has what they need.

Automation and custom software work is scoped and delivered for a fixed estimate you approve before we start. A firm website on a Managed Website plan starts at $95 a month.

Who we work with

Consulting firms already run on our work.

The consulting firms we work with today are mostly on the website side. For Compassionate Consulting, we designed and built the firm's site, and have hosted and maintained it for several years: updates, security, forms that stay protected from spam, and the small changes a practice needs without waiting on a developer. For LA Move Consultants, we rebuilt the site so the firm's own team can edit pages themselves.

That is the Managed Website tier. The billing and portal work described above is the Automation and Custom Software tiers, and the proof for it is below.

Proof · CASH · the same kind of work

$450,000 saved. 13,500 hours eliminated.

CASH filed settlement claims one record at a time, and loading them took up to 85% of the day. We automated the filing: import a batch and each claim files itself, about 90% of every form filled, and a person still checks the batch at the end. Across the work that removed roughly 13,500 hours and saved about $450,000.

CASH is not a consulting firm. It is the same kind of process work: records moving between systems at volume. For how we run our own time and billing, see the Albright Labs case study.

Running a company's websites and tools without an IT team.

A firm with a CRM, a proposal tool, a time tracker, accounting and a shared drive has five systems and nobody whose job is making them agree. The playbook covers what that costs and where to start.
